Step 1
As with any mass event, open air must be coordinated with local authorities. The territory of the forest belongs to a city or region. You need to contact the administration. If the forest is in a nature reserve, you will not be allowed to hold a festival there. There may also be difficulties during a fire-hazardous period, that is, in summer. At this time, the entrance to the forest may simply be prohibited. So the territory for holding the open air must be carefully considered and agreed upon in advance. In addition, you will have to clarify the number of visitors that you are counting on. If the authorities give the go-ahead, the site will need to be prepared: protect it from fires, set up a stage, provide access roads, medical care, security, etc.
Step 2
If you want to make a commercial festival with a paid entrance, you need to register a legal entity or at least an individual entrepreneur (individual entrepreneur). Accordingly, you will have to pay taxes on your income. Therefore, for the first time, it is best to try to win a grant and organize a non-profit event for everyone.
Step 3
You must take care of the open air participants. You need to think about who you invite to the festival. If the musicians are unknown, beginners, there is a risk that the event will be a failure. On the other hand, popular performers will charge a large fee. If your budget doesn't cover musicians' fees, try negotiating with local bands - many will volunteer to perform because they need advertising.
Step 4
Each group has its own technical rider, i.e. a list of the equipment they need and additional conditions. Find out the rider of the participants in advance. Find musical equipment according to it. It can be rented from music stores, event agencies. In cases where a particularly powerful apparatus is not required, you can try to negotiate with the rehearsal bases, perhaps they will agree to provide the equipment free of charge for the opportunity to act as a partner of the festival.
Step 5
Please note that you will also have to carry an electric generator into the forest. It must be powerful enough to "pull" the entire apparatus, as well as the consecration of the festival site. The generator is installed in advance - dig in the poles with searchlights, etc. Also, provide protection for the wires. To avoid stumbling over them, dig them into the ground. Participants and guests of the site must be provided with water, and a sufficient number of dry closets must be installed. If the territory is far from the city, organize a centralized delivery of people by transport.
Step 6
Advertising is an important point in organizing any event. Plan part of your budget for printing and posting posters. Actively spread information about your open-air on social networks, especially since it can be done for free. Print flyers and distribute them to music clubs, shopping malls. If your first festival is successful, then for the second you will already be able to find good sponsors and not experience any special problems with funding.
