Stapling documents is a common procedure in the clerical and office environment. Despite the fact that it seems simple, there are special regulations that determine the rules for stitching documents and their execution. And these rules should be known so that the documents sent to the tender or to the archive are not returned for further registration and alteration.

Step 1

To ensure the safety of documents after flashing, as well as to ensure that they are stored in the correct order, all sheets except the inventory must be numbered. Documents are filed in chronological or alphabetical order. Envelopes with nested sheets are numbered before nested sheets. Blank sheets are excluded from the case and destroyed without numbered.

Step 2

Number the sheets of the case with a simple pencil from top to bottom, leaving the numbers in the upper right corner of each sheet, without affecting the text. Number photos and graphics on the back in the upper left corner.

Step 3

If the documents contain any maps glued from several sheets, number them as one sheet, indicating the number of sheets in the gluing. At the end of the numbering, write a certification letter on a separate sheet. Indicate in it the number of sheets and features of individual documents, as well as their physical condition.

Step 4

In addition, an inventory must be drawn up for the filed set of documents. Do not number inventory sheets. In the inventory, write the name of the document, enter the date of the inventory, an annotation that determines the purpose of the set of documents, and also list all documents, taking into account the number of sheets. At the end of the inventory, enter the name, surname and patronymic of the originator.

Step 5

The size of the cover of each case should be 229x324 mm. On the first and last sheet of the case, stick strips of thin cardboard before sewing. A cord is passed through these strips. Use silicate glue to complete the case.

Step 6

On the left edge of the margins, without touching the text field, make three holes with an awl or hole punch symmetrically along the entire height of the sheet, at a distance of 3 cm from each other. For sewing, use sewing thread or bank twine and a sewing needle.

Step 7

Stitch the document twice to ensure the kit is strong. Pull the ends of the thread from the center hole on the back of the last sheet and tie them in a knot. Stick a sticker on the case with an assuring inscription, seal it and close the assembly.

Step 8

Leave the ends of the threads free. The certification label must bear a clear and legible signature of the manager and the seal of the organization.
